Role Summary

We have a great opportunity for an experienced HR Generalist to join our team in Shanghai. The HR Generalist will work closely with the Managing Director as well as Divisional HR Director, to be actively involved in HR operations, compensation and benefits, employee relations, learning and development, recruitment, HR policy development and implementation, HRIS, HR reporting and Payroll. For payroll, the HR Generalist is also required to liaise and work with the Finance Manager to ensure all pay matters are well attended to.

On top of the HR portfolio, the HR Generalist will play a key role in working with the Executive Secretariat team to ensure the smooth day-to-day running of the Shanghai office covering both the HR and Office Admin portfolios.

You will need to be highly organized and well-disciplined, self-motivated and proactive with a professional manner, and have strong interpersonal and administration skills. This role will suit someone who enjoys being a valued member of the team.

This role will have a solid line reporting to the Managing Director for our Shanghai office and a dotted line reporting to the Divisional HR Director.

What you will be doing

Recruitment/Talent

  • Prepare employment contracts for new hires.
  • Help to conduct background checks and reference checks on new hires.
  • Assist the Divisional HR Director with the onboarding and offboarding processes.
  • Help to conduct first day induction with new hires.
  • Screen resumes and help to conduct the first round of interviews for various open positions.
  • Help to shortlist candidates and arrange interviews for the line managers.
  • Ensure job requisitions are submitted in HRIS (SuccessFactors) for new hires and update the open positions report.

 

Compensation & Benefit

  • Assist the Managing Director and Divisional Director with the annual salary review, bonus and promotions processes.
  • Prepare salary adjustment and promotion letters.
  • Work with the Managing Director and Divisional Director on the renewal of our insurance benefits plans. 

 

HR Operations and Employee Relations

  • Handle various employee relations cases In the Shanghai office.
  • Help to prepare PowerPoint presentations for various meetings.
  • Working with the Finance department to check the monthly payroll.
  • Prepare various Excel reports for the Finance Department, as and when requested.
  • Help to draft various HR policies and processes, when required.
  • Assist with HR Audits.
  • Complete statutory government surveys.
  • Submit various government claims as and when necessary.
  • Answer general HR enquiries from the department heads and their teams.
  • Support the other members of the HR team with their work, as and when necessary.
  • Input employee information into our HRIS system.
  • Continuously look at ways to improve our HR processes.
  • Cover the other members of the HR/secretariat team when they are on leave.
  • Additional / ad hoc duties as required to meet the needs of the business.

Other requirements

  • Degree in Human Resources or a related discipline (advantageous but not mandatory)
  • 3–5 years’ experience as an HR Generalist within a global organisation
  • Experience across HR operations, payroll, recruitment, compensation & benefits, employee relations, and HR policy development
  • Previous experience using SuccessFactors is highly advantageous
  • Experience working in a lean HR team preferred
  • Excellent verbal and written communication skills in English
  • Fluency in Mandarin is required
  • Strong team player able to collaborate effectively with the Singapore HR team, global HR team in London, and colleagues across Asia Pacific
  • Demonstrated ability to build effective relationships with diverse stakeholders at all levels
