Division Overview
From a complex chemical derivative to simple molasses, our Specialised Products team helps move a hugely diverse range of cargoes, each with its own individual carriage requirements. The sheer diversity of the market calls for a wide knowledge of each and every product and vessel type. Our business is generally comprised of four distinct charter types: spot fixtures; Contracts of Affreightment (CoAs); timecharter; and bareboat charters. Our unique blend of broking knowledge and market analysis is made available to our clients through reports, presentations and bespoke consultations, creating ever greater value to our existing and future customers. Role Summary

The person in this role will provide finance administrative support, carrying out a range of duties including but not limited to: maintaining accurate and timely financial and administrative records whilst ensuring business requirements are met on a consistent and professional basis.

What you will be doing
• Responsible for processing all cashbook transactions in the accounting package on a weekly basis, ensuring bank reconciliations and monthly cashbooks are adequately maintained.
• Timely and accurate preparation of commission invoicing.
• Preparation and issue of Client Charter Invoicing and payments.
• Responsible for administering and processing purchase invoices, maintaining an accurate purchase ledger in line with company approval levels. Deal with supplier queries and reconcile supplier statements.
• Reconciling and processing of employee expense claims and monthly employee credit card expenses to statement, ensuring adequate back-up and approval.
• Administration of the office petty cash on an ongoing basis.
• Ensuring suppliers are paid on a timely basis. Proposing fortnightly payment runs for review, ensuring payments are accurately processed in accounting system and set up in the bank for approval.
• Assist in the month end management accounting and reporting process, including but not limited to:-
▪ Input of data into parent reporting package
▪ Posting journals
▪ Balance sheets reconciliations
▪ Intercompany reconciliations
▪ Revaluation of bank accounts, sales and purchase ledgers
• Responsible for preparing quarterly client rebate reconciliation for approval and ensure timely payment set up and approved.
• Timely Preparation of monthly cash flow analysis for review by Management Accountant.
• Assist Management Accountant with credit control function within the business.
• Preparation of the monthly VAT returns for review.
• Ensure the finance administration and filing records are always kept in an organised and useable form.
• Analysis and support for the mobile contract.
• General administrative and office support, including liaising with Office Suppliers.
• Additional / ad hoc duties as required to meet the needs of the business.
 

What we are looking for

Experience & Knowledge
• Previous experience working in a similar role.
• Experience using accounting packages – essential.
• Experienced in the use of Microsoft Office packages (proficient in excel, with ability to perform pivot tables, look ups etc).
• High level of accuracy and attention to detail.
• Numerate and good problem-solving skills, with ability to use own initiative.
• Strong communication skills (verbal and written), able to liaise with people at all levels.
• Self-motivated and highly organised, able to multitask and manage multiple priorities with competing demands and work to tight deadlines.
• Team player with a flexible approach.
