Role Summary
We have a fantastic opportunity for a college student to join our Offshore team in Rio De Janeiro. The person in this role will carry out post-fixture operations and accounts receivable duties. This includes being responsible for collecting information from each fixture from the Offshore desk, inputting details into an internal system, and producing on-demand reports for the Accounts team. You will be required to liaise with brokers and the Accounts department, with a focus on being a key point of contact for the Accounts Receivables team.
The successful candidate should be organized, highly responsive and diligent, able to apply strong attention to detail and accuracy. This role would suit someone who is self-motivated and proactive and can deliver a variety of tasks in a busy and fast-paced environment. We are looking for someone who is able to work autonomously to deadlines and enjoys being a valued member of the team.
What you’ll be doing
Post-Fixture Operations Duties
- Carry out various post-fixture duties.
- Check all documents related to the fixtures are in accordance with the standards and needs.
- Request fixture documents from brokers and/or clients, managing internal and external communication.
- Input and update relevant data from the fixtures into internal systems, including contractual, financial documentation.
- Follow up vessels ‘on-hire’ and ‘off-hire’ with brokers and clients.
- Check hire invoices, ensuring they are accurate and issued on time, and chase for payment if needed.
Accounts Receivable Duties
- Organizing, raising and processing monthly and ad-hoc invoicing to clients;
- Produce Accounts Receivable ad-hoc reports for the Offshore and Accounts departments.
General Duties
- Provide administrative assistance to our Offshore chartering team in general terms.
- Addition ad / hoc duties as needed in order to meet the needs of the business.

Other requirements
- Business, Economy or Accounting undergraduate students (preferable).
- Experience of carrying out administrative duties (beneficial).
- Experience / knowledge within Oil and Gas market is welcome (not mandatory).
- Highly responsive, and a strong communicator, both verbal and written.
- Able to build strong relationships, and comfortable communicating with senior colleagues.
- Highly organized with excellent time management skills.
- Must be a team player and able to collaborate and work well as part of a results-oriented, office-based workplace.
- Self-motivated, diligent and able to work well under pressure.
- Strong focus on accuracy and attention to detail.
- Able to use MS office packages (inc. outlook, excel, word).
- Fluency in English, both verbal and written.
