Role Summary
We are seeking a highly organised and detail‑oriented Charter Party Assistant to support our chartering and operations teams in the preparation, administration, and execution of Charter Party documentation. This role is critical in ensuring accuracy, compliance, and timely processing of contractual paperwork across our fixtures. The ideal candidate will have Charter Party experience, strong administrative capability, and a keen eye for detail, as well as the ability to work effectively in a fast‑paced environment in line with deadlines.
What you’ll be doing
- Prepare, draft, and review Charter Party agreements and related documentation using globally standard platforms.
- Ensure CP terms are accurately reflected based on negotiated fixture recap and typed up promptly to avoid any delays to negotiations.
- Coordinate the issuance, execution, and circulation of signed documentation.
- Maintain organised digital filing for all contract-related documents.
- Track and follow up on outstanding CP information, signatures, and amendments, to ensure timely closure of CP files.
- Effectively manage professional email correspondence with colleagues and clients, ensuring timely and clear responses.
- Input fixture details into internal systems with a high degree of accuracy.
- Assist with updating vessel, client, and contract information.
- Liaise with shipowners and charterers for smooth and timely execution of CPs.
- Provide administrative support during negotiations or fixture finalisation.
- Support the chartering desk with document retrieval, record updates, and general paperwork requirements.
- Additional / ad hoc duties as required to meet the needs of the business.

Other requirements
- Good understanding of, or familiarity with Charter Party agreements
- Strong administrative or contract-support background (shipping experience a plus)
- Strong typing ability
- Understanding of shipping terminology or interest in developing this knowledge
- Able to maintain confidentiality and handle sensitive commercial documents
- Highly organised with strong time-management and prioritisation skills
- Proactive and positive approach, with a willingness to learn
- Excellent attention to detail and accuracy in document handling
- Ability to work effectively under pressure and within tight deadlines
- Reliable and collaborative team player
- Professional communication skills
- Proficient IT skills (e.g. systems, MS Excel, PowerPoint, Word)
